For recruitment agencies
Less admin between your consultants and placements
In a busy agency, consultants spend hours chasing candidates for updates, arranging interviews and keeping the CRM current. We help owner-led recruitment agencies automate the repetitive parts, inside the systems you already use, with a person approving anything that goes to a candidate or client.
In short
Propel helps owner-led UK recruitment agencies, typically with 10 to 40 staff, automate the admin around placements: candidate follow-ups and status updates, interview scheduling, and keeping records up to date in the CRM. We keep your existing systems, such as Bullhorn, Vincere or JobAdder, and nothing is sent to a candidate or client without a person approving it. Work starts with a Fit check from £750.
Sound familiar?
Moments that eat into the day
Examples rather than a diagnosis. Every business runs differently, which is why we start by looking at how yours works.
Candidates chase for an update
Consultants spend the day replying to “any news?” messages, or candidates hear nothing and go elsewhere.
What could help: Update messages drafted from the CRM status, for a consultant to check and send.
Arranging one interview takes six emails
Finding a time that suits the candidate, the hiring manager and the consultant goes back and forth.
What could help: Times offered and confirmations sent from one place, with the CRM updated as it happens.
The CRM is always a day behind
Notes from calls and emails are added later, or not at all, so nobody trusts the pipeline.
What could help: Call and email notes summarised into the right record for the consultant to approve.
Handing over to compliance and payroll means re-keying
Once a candidate is placed, the same details are typed into onboarding, right-to-work checks and timesheets.
What could help: Details passed on from the CRM once, with checks still done by your team.
Where we’d usually start
How we help recruitment agencies
We always start with how your work actually runs. These are the areas that most often make the biggest difference.
- Automating repetitive adminReminders, confirmations, follow-ups and paperwork that happen on their own.
- Connecting your business softwareQuoting, jobs, CRM and accounts passing details to each other, so nobody re-keys them.
- Reporting and management informationRegular reports that mostly put themselves together from the records you already keep.
How it works
Understand first, then do the work
We talk
A 30-minute call about how your operation works and what you’d like to be easier.
We look at how the work runs
We spend time with you and the people doing the work, and look at the tools, sheets and messages you use day to day.
We agree what to change
We suggest what would help most, in plain terms, with what’s involved and what it would cost, before anything starts.
We put it in place
We set things up, connect and build what’s needed, show your team how it works and adjust it once it’s in daily use.
Can a recruitment agency use AI with Bullhorn, Vincere or JobAdder without replacing it?
Usually, yes. We start by checking what your plan already does and what its built-in automation and API allow. Then we add the missing steps around it, such as drafting candidate updates or summarising notes into the right record. Access has to be approved by you, and some vendors need to enable API access first. We aren’t a partner of any of these vendors.
Will AI send messages to candidates or clients on its own?
Not unless you decide it should. By default, anything that goes to a candidate or client is drafted for a consultant to check, edit and send. That keeps your tone, and keeps a person responsible for what’s said.
Which admin is usually worth automating first?
Often it’s candidate status updates, interview scheduling or getting call notes into the CRM, because they happen many times a day. We look at your own week before suggesting anything, and sometimes the answer is that a task isn’t worth automating yet.
What does it cost to get started?
Fit check from £750. We review one workflow and the tools you already use, then explain what we think is worth changing. Any build is scoped and priced separately. The introductory call is free.
