Process improvement and clear responsibilities
Clear processes and owners, so work stops falling through the gaps
Plenty of what slows a business down isn’t about software at all. Steps get skipped, handovers get lost and nobody’s quite sure whose job something is. We help you sort out how the work flows and who owns each part, then make it stick.
In short
Propel helps owner-managed businesses improve how work moves between people: the steps a job, order or request goes through, who owns each step and how handovers happen. We map the real process with your team, agree a simpler one and put it in place, with the tools and checklists to support it.

Signs it’s worth a conversation
Any one of these is a good reason to talk. They’re common, and they’re usually fixable without turning the business upside down.
- Tasks wait because two people each assume the other has them.
- The same job is done differently depending on who does it.
- One person knows how everything works, and things stall when they’re away.
- New starters learn by asking around, because nothing’s written down.
- Problems are spotted at the end, when they’re hardest and most expensive to fix.
What we do
How we help with process improvement and clear responsibilities
Follow the work as it really happens
We walk through real jobs with the people involved, noting where things wait, get redone or get lost between people.
Agree a simpler way, together
We suggest a clearer process with fewer steps and handovers, and agree it with the people who’ll use it, not just the people who manage it.
Make ownership obvious
Each step and handover gets a named owner, written down where people will actually see it: on the job record, the board or a short checklist.
Back it up with the right tools
Where a tool would help the new process stick, such as a shared checklist, a status on each job or an automatic reminder, we set it up.
What it could look like
An installation business
An illustrative example, not a client result. What makes sense for you depends on how your work actually runs.
Survey notes, measurements and customer choices passed from sales to the office to the fitters by email and memory. Details went missing, and fitters found out on site.
One checklist follows each job from survey to sign-off. Every stage has a named owner, and nothing is marked ready until the step before it is complete.
How it works
From a first call to a change in daily use
You’ll know what we’re suggesting, and what it would cost, before any work starts.
We talk
A 30-minute call about how your operation works and what you’d like to be easier.
We look at how the work runs
We spend time with you and the people doing the work, and look at the tools, sheets and messages you use day to day.
We agree what to change
We suggest what would help most, in plain terms, with what’s involved and what it would cost, before anything starts.
We put it in place
We set things up, connect and build what’s needed, show your team how it works and adjust it once it’s in daily use.
Questions
Questions about process improvement and clear responsibilities
Is process improvement just writing procedures?
No. Written procedures help, but the useful part is agreeing a simpler way of working with the people who do it. Then we back it up with the job record, checklists or reminders so it actually happens day to day.
How much of our team’s time will it take?
Some, because they know how the work really runs. We keep it focused, with short conversations and walk-throughs of real jobs arranged around the working day.
Do you just recommend changes, or make them?
We make them. Once we’ve agreed what should change, we put it in place by updating tools, setting up checklists and statuses and helping the team through the change.
What if the real problem is our software?
Then we’ll tell you, and explain the options. Sometimes better setup fixes it. Sometimes the answer is connecting your tools or switching one of them.
