What affects the cost of business process automation?
An automation quote should describe a working process your team can rely on. The cost depends on the connections, rules, exceptions and checks needed to deliver that process.
A short demonstration can hide much of that work. Before comparing prices, check what each supplier will actually deliver.

Define where the process begins, what information it uses and what counts as finished.
A draft assembled from one consistent source is a different job from a workflow that reads several systems, resolves conflicting records and updates customer information.
The number of steps is only part of the scope. The consequence of getting a step wrong matters too.
Check the connections

- Exact task checked
A supported integration can reduce development work. It still needs the right permissions, account plan and data fields.
If a system has no suitable connection, the project may need custom development or a different approach. Ask whether the quote includes that work and what happens if access cannot be obtained.
Account for the data
A workflow cannot reliably resolve every problem in inconsistent source information.
Missing identifiers, duplicate records and unclear ownership may require a separate cleanup task. The proposal should explain what condition the input data must be in and who is responsible for preparing it.
Look beyond the first successful run
Ask how the system handles failures and how your team finds out about them. Check whether testing covers missing information, duplicate events and permissions as well as the normal task.
Training, documentation and handover also take work. They should be visible in the quote rather than assumed.
Include the cost of running it
Hosting, software subscriptions and usage charges can continue after delivery. A separate support agreement may also be appropriate.
Ask who owns each account, who receives the bill and which costs can change as usage grows.

Start with a recent example of the process. Record its frequency and the time spent preparing, checking and correcting the work.
Then consider which part a new system can actually remove. Keep human review, exceptions and ongoing maintenance in the estimate.
Time released is capacity. It becomes a cash saving only where it avoids a real cost. Faster reporting may improve a decision without reducing payroll. Those can both be useful outcomes, but they should be described separately.
